Group Reservations Coordinator – Maternity Cover September 2026 – November 2027 About the Role We are looking for an experienced and detail-oriented Group Reservations Coordinator to join our team on a maternity cover basis from 1st September 2026 to 30th November 2027. In this role, you will play a central part in managing group reservations from initial booking through to final invoicing, ensuring every detail is handled with precision and professionalism. You will serve as a key liaison between Sales, Events, Revenue, and Front Office teams, coordinating group stays and supporting the seamless delivery of meetings, conferences, and events across our properties. Key Responsibilities Reservations & Group Bookings Management Manage end-to-end reservations for all group segments, including leisure groups, VIP groups, congress bookings, and conference events Set up, maintain, and monitor room blocks in the PMS (Opera Cloud or similar), ensuring accurate pickup tracking, cut-off date management, and rooming list coordination Coordinate closely with Sales, Revenue, and Conference & Events teams to ensure rates, terms, and allocations align with contracted agreements Handle individual reservations and VIP bookings as required, contributing to overall occupancy and revenue performance Oversee multiple simultaneous bookings and events from initial enquiry through to final billing Financial & Forecasting Ensure accurate and timely billing for group, conference, and congress clients Support the Revenue and Conference & Events teams with group pickup, pace, and wash analysis for forecasting purposes Contribute to budgeting and forecasting by maintaining current and accurate booking data Provide the correct data inputs for accruals and commission reporting Identify and act on upselling opportunities for Food & Beverage options to upcoming groups Guest & Client Experience Serve as the primary point of contact for group organisers, travel agents, and Professional Congress Organizers (PCOs) Provide timely, professional responses to enquiries, amendments, confirmations, and special requests Handle booking-related issues and client concerns with a solution-oriented approach and a strong commitment to excellent service Requirements Experience 2–4 years of experience in hotel reservations or front desk operations, with a focus on group bookings preferred Skills & Abilities High level of accuracy and the ability to manage complex, multi-layered bookings simultaneously Excellent organisational skills with strong attention to detail Ability to manage multiple priorities and consistently meet deadlines in a fast-paced environment Proficiency in hotel property management systems (PMS) and reservation software, with experience in Opera Cloud, GXP, and similar platforms preferred Strong command of Microsoft Office Suite (Word, Excel, Outlook) Personal Attributes Service-driven with a highly professional communication style, both written and verbal Strong problem-solving skills and the ability to remain composed under pressure A genuine team player who enjoys
