Job Description

Student Services Coordinator

Office of Student Services and Engagement | Temple University, Japan Campus (TUJ)

Tokyo (Setagaya-ku) | Full-Time

About the Role

Temple University, Japan Campus (TUJ) is seeking a motivated, culturally aware, and student-centered professional to join its Office of Student Services and Engagement (OSSE) as a Student Services Coordinator. This is a meaningful, full-time opportunity to make a direct and lasting impact on the lives of a large, diverse international student population navigating life and study in Japan.

With approximately 3,500 students — roughly 75% of whom are international — TUJ is one of the most internationally diverse university campuses in Japan. The Student Services Coordinator serves as a frontline resource and trusted advisor for students, supporting their day-to-day life adjustment, off-campus housing needs, and a broad spectrum of non-academic concerns. This role is central to ensuring that every student has the practical knowledge, cultural confidence, and institutional support they need to thrive in Japan.

The position is primarily based at TUJ's City Campus (Sangen-jaya Station, Tokyu Den-en-toshi Line), with routine rotation to Hillside Center (Mizonokuchi Station). The primary work location may be adjusted based on seasonal needs and operational demands. TUJ is able to provide visa sponsorship for this position.

About the Office of Student Services and Engagement (OSSE)

OSSE is the hub of non-academic student support at TUJ, providing high-quality services that promote student well-being, independence, and successful integration into campus life and the broader Tokyo community. The office assists incoming students with student visa applications, financial aid guidance, housing, and orientation programming. OSSE also oversees student activities and events — both on and off campus — and works closely with student groups to foster social connection and intercultural engagement.

As a member of OSSE, the Student Services Coordinator will have regular opportunities to support student excursions, off-campus programming, and community-building initiatives throughout the academic year.

Primary Responsibilities

Life in Japan Support and Advising

  • Serve as the frontline resource for non-academic student support, welcoming walk-in students and co-managing the general inquiry inbox
  • Provide intentional, proactive, and culturally informed advising to help students adjust to daily life in Japan — covering topics such as banking, health insurance (NHI), pension enrollment, utility setup, ward office procedures, My Number registration, mobile phone contracts, and medical care
  • Plan and facilitate group advising sessions and workshops on life-in-Japan topics throughout the academic year, empowering students with practical, independent living skills
  • Support inbound study abroad students (from TUJ's Main Campus) and Global Campus Transfer (GCT) students with logistical and transitional needs as they settle into life at TUJ
  • Advise students on off-campus housing options and serve as the primary point of contact for students seeking to move, including those relocating from the Kyoto campus to Tokyo or transitioning out of TUJ residences
  • Organize and host regular Off-Campus Housing Fairs in collaboration with the Residence Life Team
  • Collaborate with the New Student Team on onboarding programming and Welcome Week activities
  • Contribute to broader student-centered programming that fosters intercultural understanding and independent life skills
  • Act as a liaison between students and internal departments, external partners, and community resources to holistically address student needs

Team and Administrative Responsibilities

  • Supervise, hire, and train student workers at the front desk of City Campus and Hillside Center
  • Maintain accurate student records and interactions using CRM or student information systems
  • Participate in evening and weekend programming on an occasional basis as operational needs require
  • Collaborate across departments to ensure cohesive and well-coordinated student support services

Required Qualifications and Experience

  • Bachelor's degree (any field)
  • At least one year of experience in student affairs, international education, or a related administrative support role
  • Professional-level proficiency in both English and Japanese (spoken and written) — the ability to communicate effectively with ward offices, medical institutions, real estate agencies, and other entities relevant to daily life in Japan is essential
  • Strong familiarity with Japanese administrative systems, including ward office procedures, banking, national health insurance, and pension enrollment
  • Demonstrated ability to deliver workshops, facilitate group
