About the Role

We are seeking a motivated and detail-oriented Administrative Assistant to support the day-to-day operations of the Systemic Sclerosis Unit at the Vall d'Hebron Research Institute (VHIR). This is an excellent opportunity to contribute meaningfully to cutting-edge biomedical research in the field of autoimmune diseases within one of Europe's leading hospital research environments.

In this role, you will play a key part in ensuring the smooth coordination of clinical and research activities — from managing patient data and clinical databases to supporting research teams and facilitating patient interactions. You will work within a multidisciplinary team of healthcare professionals and researchers, making a tangible impact on the quality and efficiency of both patient care and scientific output.

The position is a full-time technical and scientific activities contract linked to project activities, with an expected start date of September 2026.


Responsibilities

  • Coordinate and manage clinical databases, including systematic data entry and ongoing quality control to ensure accuracy and integrity
  • Support and actively participate in research projects related to autoimmune diseases, contributing to administrative and operational aspects of study delivery
  • Coordinate clinical research activities, including contacting patients, scheduling and confirming study visits, and administering research questionnaires
  • Organise and maintain patient records in compliance with applicable data protection and healthcare regulations
  • Code and classify healthcare data in accordance with established protocols and standards
  • Support patient care coordination activities, acting as a liaison between clinical staff, researchers, and patients as required
  • Analyse and maintain clinical databases, identifying inconsistencies and ensuring data is kept current and complete
  • Assist with the preparation of reports, documentation, and administrative materials to support ongoing research projects
  • Collaborate closely with multidisciplinary teams including clinicians, researchers, and administrative staff to ensure seamless project coordination

Requirements

Education & Qualifications

  • Senior Technician qualification in Healthcare Documentation and Administration (or equivalent)
  • Additional or specialised training in Microsoft Access, REDCap, and SAP
  • Full professional fluency in Catalan, Spanish, and English

Experience & Skills

  • Demonstrated experience working with clinical databases and data management systems in a healthcare or research setting
  • Proven ability to work effectively as part of a multidisciplinary team, adapting to dynamic priorities and collaborative working practices
  • Strong organisational and time-management skills, with the ability to handle multiple concurrent tasks and meet deadlines
  • Excellent communication skills, with experience interacting professionally with healthcare professionals, researchers, and patients
  • High level of attention to detail and commitment to data quality and confidentiality
  • Familiarity with healthcare data coding practices and patient record management is an advantage

Working Conditions

  • Working hours: Full-time (37.5 hours per week) with flexible working arrangements
  • Contract type: Technical and scientific activities contract linked to project activities
  • Start date: September 2026
  • Compensation: Competitive salary aligned with the applicable Collective Agreement pay scale, determined by experience, skills, and responsibilities
