The Ear, Nose and Throat (ENT) Operating Unit is seeking an experienced and highly organized Executive Assistant to support the Vice President, Commercial ENT International. This is a pivotal role within a dynamic, internationally focused team, offering the opportunity to work at the heart of Medtronic's ENT commercial operations and contribute meaningfully to business outcomes across global markets.

The ideal candidate brings strong experience in drafting executive-level communications, managing complex calendars, coordinating high-visibility meetings and events, and supporting strategic initiatives in a fast-paced, matrixed environment. This role reports directly to the VP Commercial ENT International and requires occasional international travel.


Responsibilities

  • Team Operations & Communications: Manage the overall Global Business Partnerships Team rhythm, including weekly, monthly, quarterly, and annual meetings, town halls, team communications, strategy documents, action item tracking, team-building activities, and community events
  • Administrative Support: Maintain executive calendars, coordinate meetings and conferences, arrange travel, process expense reports, prepare communications, order supplies, process invoices and purchase orders, create meeting minutes, manage agendas, track action items, and maintain organizational charts and email distribution lists
  • Communications Drafting: Draft a broad range of communications on behalf of the VP, including announcements, invitations, Organizational Health Survey results summaries, all-employee updates, and town hall or strategic meeting materials
  • Reporting & Analytics: Gather, compile, and present information relevant to the VP's assignments, including Organizational Health Survey analytics and training completion performance metrics
  • Strategic Meeting Logistics: Manage end-to-end logistics for quarterly strategic meetings held across various global sites, including content preparation, catering, AV setup, and venue bookings
  • Recruiting Coordination: Partner with HR, Talent Acquisition, and Hiring Leaders to schedule interviews for staff-level department openings
  • Onboarding Support: Assist with onboarding new direct staff members and contribute to the broader extended team onboarding program
  • Scheduling & Partner Management: Effectively manage scheduling with internal stakeholders and external third-party partners, including hospitality venues and transportation and logistics providers
  • Process Improvement: Apply problem-solving skills to identify and support improvements in systems, processes, and communications across the team
  • Special Projects: Perform a wide variety of non-routine administrative tasks and support periodic special projects or assignments as needed

Requirements

  • Associate's or Bachelor's degree, or equivalent experience, combined with 6+ years of administrative support experience, ideally in a corporate or international business environment
  • Strong organizational, technical, communication, and influencing skills — both written and verbal — with demonstrated ability to work confidently across all levels of an organization and with external business contacts
  • Expert proficiency in Microsoft Office, including Teams, PowerPoint, Word, Excel, and Outlook; ability to create polished meeting materials and manage content delivery timelines
  • Proven experience supporting multiple projects and managing competing priorities in a dynamic, fast-moving environment while maintaining professionalism through interruptions and shifting demands
  • Demonstrated experience working with confidential and sensitive information with the highest level of discretion and integrity
  • Strong drive for results, personal initiative, and responsiveness; able to quickly learn and effectively manage a wide range of projects, tasks, and issues
  • Ability to travel approximately 3 to 4 times per year (approximately 10 to 12 days annually)
