About the Role
Wellington Uni-Professional is seeking a dedicated and detail-oriented Programme Coordinator – Scholarships (PCS) to join the team on a permanent, full-time basis. Based at Rutherford House on the Pipitea Campus, this is a pivotal role within the Scholarships portfolio, supporting the delivery of the Manaaki Thematic Short-Term Training Scholarship (TSTTS) programmes.
As Programme Coordinator – Scholarships, you will play a key role in shaping the end-to-end scholar experience — from supporting application and pre-departure processes through to event logistics, pastoral care, and the accurate delivery of programme administration. You will work collaboratively across the Scholarships portfolio and wider international programmes, bringing strong organisational capability, a proactive service mindset, and an unwavering commitment to accuracy and integrity.

Key Responsibilities
- Ensure the smooth and efficient delivery of scholarship programmes through accurate, well-managed administrative processes
- Maintain high-integrity application data, documentation, and reporting across all stages of the scholarship lifecycle
- Coordinate scholar logistics, including documentation, travel, accommodation, insurance, and payments
- Support the application and pre-departure processes, including briefings and communications with prospective and confirmed scholars
- Assist in the delivery of orientations and manage event and classroom logistics
- Provide responsive pastoral care and manage scholar enquiries with professionalism and empathy
- Process programme-relevant financials, certificates, and evaluations accurately and in a timely manner
- Support the wider Scholarships and International Programmes team as required
About You
To succeed in this role, you will be a collaborative team player with strong administrative capabilities and a genuine passion for delivering excellent service. Our ideal candidate will bring some or all of the following:
- Proven experience in administration, coordination, or programme support, with strong time and project management skills that ensure deadlines are met in a dynamic, fast-paced environment
- Excellent self-management and organisational skills, with the ability to plan, prioritise, and deliver results while maintaining a high level of attention to detail
- High technical competency in Microsoft Office, particularly Word, Excel, and PowerPoint, including the ability to perform mail merges
- Confidence working with financial data, including Excel spreadsheets and basic financial processes such as processing invoices and stipend payments
- The ability to manage multiple concurrent tasks in a fast-paced environment, with strong problem-solving skills and the ability to remain calm under pressure
