About the Role

We are seeking a highly organised and motivated Project Administrator to join our dynamic team. This is a key operational role that supports projects across all stages of the event-management lifecycle — from initial venue research and proposal development through to on-site delivery. Reporting directly to the General Manager, the successful candidate will play an integral part in ensuring that every conference and meeting is planned and executed to the highest standard.

This position is ideally suited to someone with a background in hospitality, events, or a related field who thrives in a fast-paced environment and takes pride in delivering exceptional results. Key Responsibilities

  • Conduct thorough venue research and prepare detailed proposals that align with client briefs and budgetary requirements
  • Support contract negotiations with venues and suppliers, ensuring favourable terms and service standards are maintained
  • Assist in the end-to-end planning and execution of national and international conferences, meetings, and corporate events
  • Ensure all client requirements are clearly understood, documented, and delivered upon throughout the project lifecycle
  • Provide comprehensive administrative support across multiple concurrent projects, including document preparation, project tracking, timeline management, and scheduling
  • Maintain accurate records and project files, ensuring information is up to date and accessible to the wider team
  • Coordinate communication between internal teams, clients, venues, and third-party suppliers
  • Support on-site event delivery, including attendance at domestic and international events when required
  • Manage competing priorities and deadlines effectively, demonstrating composure and adaptability under time pressure
  • Contribute proactively to team meetings, process improvements, and the overall success of the projects department

Candidate Requirements

  • A minimum of two years' experience in the hospitality, events, or a closely related sector is required
  • Strong written and verbal communication skills, with a consistently high standard of professionalism in all client and stakeholder interactions
  • Excellent organisational skills and the ability to multitask effectively across several active projects simultaneously
  • High proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and the ability to quickly adapt to new project management tools and systems
  • A proactive, dependable, and collaborative team player who takes ownership of their responsibilities
  • Strong critical-thinking and problem-solving skills with the ability to anticipate challenges and act decisively
  • Flexibility to travel domestically and internationally on occasion as project requirements demand
  • Candidates must be within commutable distance of Shannon, Co. Clare, as this is a fully on-site, in-person role
