About the Role

As an Office Administrator at Lamqora, you will be responsible for coordinating administrative operations, maintaining company records, supporting internal teams, and ensuring efficient business processes across the organisation.

You will work closely with our Recruitment, Sales, Customer Success, Finance, and Leadership teams to provide administrative support that enables the business to operate at its best — delivering an exceptional experience to both clients and candidates every step of the way.

This role is ideally suited to someone who thrives on organisation, enjoys problem-solving, and is comfortable managing multiple priorities in a fast-paced remote environment. You will be a trusted operational backbone of the business, and your contribution will be visible and valued from day one.


Key Responsibilities

Office Administration

  • Manage daily administrative operations across the business
  • Maintain organised digital filing systems and company documentation
  • Prepare reports, business correspondence, presentations, and operational documents
  • Monitor shared company inboxes and distribute enquiries appropriately
  • Manage office supplies and software subscriptions where applicable
  • Ensure administrative procedures are followed consistently across all departments

Calendar & Meeting Coordination

  • Schedule internal meetings, client meetings, interviews, and training sessions
  • Coordinate executive and departmental calendars
  • Prepare meeting agendas and record accurate meeting minutes
  • Follow up on outstanding action items and deadlines
  • Coordinate virtual meetings across multiple time zones

Recruitment Administration

  • Schedule candidate interviews and manage associated logistics
  • Prepare offer letters, contracts, and onboarding documentation
  • Update and maintain candidate records within the Applicant Tracking System (ATS)
  • Coordinate reference checks and onboarding activities
  • Support recruiters with day-to-day administrative tasks to keep the hiring process moving efficiently

CRM & Data Management

  • Maintain accurate client, candidate, and prospect records within HubSpot CRM
  • Update contacts, companies, deals, and activities consistently
  • Perform routine CRM data audits to ensure data integrity
  • Generate operational reports and dashboards for management review

Financial & Operational Support

  • Assist with preparing quotations, invoices, and purchase requests
  • Maintain supplier and vendor records
  • Support expense tracking and document reconciliation
  • Assist with operational budgeting and procurement administration where required

Customer & Team Support

  • Respond to general client and candidate enquiries in a professional and timely manner
  • Coordinate internal communications between departments
  • Support Customer Success and Business Development teams with administrative requests
  • Uphold high standards of professionalism across all business communications

Process Improvement

  • Identify opportunities to improve administrative systems and workflows
  • Develop and maintain Standard Operating Procedures (SOPs)
  • Assist with implementing new business systems and automation tools
  • Support operational improvement initiatives across the organisation

Required Experience & Skills

  • 2–5 years of experience in Office Administration, Business Administration, Operations Support, or Administrative Coordination
  • Excellent written and spoken English communication skills
  • Strong organisational and time-management abilities
  • High attention to detail and a commitment to accuracy
  • Excellent interpersonal and communication skills
  • Ability to manage multiple priorities simultaneously without compromising quality
  • Comfortable working independently and proactively in a fully remote environment
